Frequently Asked Questions

How do I order transcripts?
Transcripts can be ordered by web, by mail or in person.

Requests for transcripts of student academic records at this time cannot be processed by telephone or e-mail. The family Educational Rights & Privacy Act (FERPA), a federal law, requires that we have a written release from the student. It can be in the form of authentication via the web, a transcript request form obtained from this office or by letter. All forms of request must have the electronic authentication or a signature to release the record. Requests may be sent to: Office of Registration & Student Records, Sinclair Community College, 444 West Third Street, Dayton, Ohio 45402-1460. Fax transcript requests to (937) 512-3456. Payment must accompany the transcript request. Transcript requests received without payment or signature cannot be honored.

The written request must include the following, or it will be returned to the student.

  1. Full name, typed or printed, with all previous names listed
  2. Signature (required by Federal law)
  3. Social security number
  4. Date of birth
  5. Last year of attendance. If you currently are enrolled and you want pending grades and/or degree certification noted, you must request this and expect a delay. Otherwise, transcripts will be processed within 5 business days.
  6. Number of transcripts needed.
  7. Address(es) of where transcripts are to be sent. Use the complete address, not just a name and city of college. (Student is responsible for the correct address.)
  8. Please include daytime telephone number and email address, if available, of the person requesting transcripts.

Transcript by Mail Request Form

Is there a charge?
Yes. The charge is $5.00 per transcript. In-person payment may be cash, check, money order, VISA, or MasterCard. Mailed payment can be by check or money order, VISA, or MasterCard. We urge you not to send cash through the mail. A $10.00 charge per copy is made for same day, in-person service and for same-day requests by fax (Same day is determined by when the request is received).

Can you send my transcripts immediately?
Yes, if requested as same day service, between the hours of 8:00 a.m. to 2:00 p.m. You should allow five business days for processing during end-of-the-quarter grade processing times, allow 15 business days for processing.

Transcripts will not be processed if the student has any financial obligations to the college.

Can you e-mail or fax my transcripts?
No.

Transcripts are sent by First Class Mail through the U.S. Postal System. Certain users of transcripts, such as college admissions offices, require that transcripts be mailed directly to them, and refuse hand-carried transcripts. Some users (especially graduate admissions) require sealed envelopes, which we can provide if requested initially. Due to security reasons we do not fax or email transcripts.

Same Day Service:
Same day service is available for $10.00 per transcript copy. Transcripts are mailed by regular U.S. Postal Service. Same day service does not mean that we will send the transcript by express mail. Students who wish to pick up transcripts must present photo identification at the time they request same day service. Request for pick up will be issued to the person who is picking up the transcript.

Can I order an "unofficial transcript"?
No.

All academic transcripts are official. Students may obtain a copy of coursework taken and grades earned from 1992 to present from the In-Touch Kiosks on campus and by going to the My.Sinclair.edu portal under the Web Advisor tab. However, student name and identifying numbers will not be printed on the course list.

Whom do I contact if I have a question about my transcript?
For assistance call (937) 512-3000, Monday through Thursday, 8:00 a.m. - 7:00 p.m. EST and Friday, 8:00 a.m. - 5:00 p.m. EST (4:30 p.m. during Summer quarter) or email questions to studentrecords@sinclair.edu.

Who can authorize the release of a transcript to be picked up by someone other than the student?
The family Educational Rights & Privacy Act (FERPA), a federal law, requires that we have a written release from the student with the student's signature who would name the individual to release the transcript The transcript would be issued to the person indicated by the student in the written request. This requirement may be waived only if the requestor is the legal gardian of the student whose record is being requested and has claimed her/him as a dependant on their tax return. A copy of the tax return will be required or a copy of the "power of attorney" document. In such case, the transcript will be issued to the person holding the authorization.
