Retention of Business Records

There are two types of Records Retention Schedules in use at Sinclair.

  • One is the Collegewide General Records Schedule (GRS), which gives information on College Policy regarding everyday business records. The most recent version of the General Schedule is available below.

  • The second is the department Records Retention Schedule [R1 Form]. This document identifies and describes department records at the series level, and provides instructions for the disposition of the records throughout their life cycle. They result from a consultation between the Records Manager and a representative(s) of the office the Retention Schedule is created for.

In accordance with Chapter 149 of the Ohio Revised Code, Sinclair Community College, Dayton, Ohio, has adopted the following policy for the retention and disposal of records of the College.

Records as defined in section 149.011 of the Ohio Revised Code may only be retained and destroyed as indicated on a Records Retention Schedule approved by the College Records Manager, and subject to established Records Management procedures.

The Ohio Revised Code defines "Records" as any document, device, or item, regardless of physical form or characteristic, created or received by or coming under the jurisdiction of any …office… which serves to document the organization, functions, policies, decisions, procedures, operations, or other activities of the office.
